Getting started

How do I add my building and units?

Properties → Add property. Give it a name, then optionally create its units in one go: a label prefix (e.g. "A" gives A1, A2, A3…), how many, their type (Single room, Double room, One, Two or Three bedroom, or Shop) and the rent. You can change any unit's type and rent afterwards with Set rents on the property page.

Can I bring in my tenants from Excel?

Yes. Properties → Import from Excel: download the template, fill in one row per unit (tenant, phone, rent, rent day, what they owe now), upload it and check the preview before anything is saved.

How do I move a tenant in?

Tenants → Move a tenant in. Choose the unit, enter their name and M-Pesa phone number, the rent and the move-in date. Their rent day is the day they moved in (someone who moved in on the 12th pays every 12th), and rent is billed automatically each month.

My tenant already lives there and owes rent. How do I add them?

Tenants → Move a tenant in, and choose Already living here (before Rentipay). Enter the day they first moved in. Rentipay then lists every month since, at their rent: mark each one Paid, Not paid or Part paid and it adds up what they owe (or choose As one total to type the total yourself). Add any deposit they already paid. Their statement starts with "Balance brought forward", the deposit is held for move-out without being added to what they owe, and billing carries on from their next rent day. For many tenants at once, use Import from Excel, which works the same way.

A tenant's balance is wrong, or I marked a month "Not paid" by mistake. How do I fix it?

For tenants you added as already living there, tap Fix months before Rentipay on their page (or Change which months were paid on Edit rent & details). You'll see the months since they moved in, with what you chose. Set the month back to Paid (or Not paid, or Part paid) and save: their balance updates by itself, and the old lines stay in the history as voided. For a month since they started on Rentipay, record the payment they made (they get a receipt) or void the charge from their statement.

Can my caretaker use Rentipay?

Yes. Settings → Staff gives them their own login. They can send M-Pesa prompts and see whether the tenant paid, record cash and log repairs, for all your properties or only some. They never see your totals, reports or settings.

M-Pesa and payments

How do tenants pay me?

Straight into your own Paybill or Till: Rentipay never holds your money. Add the number under Settings → M-Pesa and tenants see it in their reminders and on their rent page. With a Paybill, each tenant uses their own account number (shown on their page, e.g. LEASE12), so payments match automatically.

I don't have a Daraja app. Can I still use Rentipay?

Yes. Add your Paybill or Till number, then every week or so download your statement from Safaricom's M-Pesa business portal (Excel or CSV) and upload it under Payments → Upload M-Pesa statement. Payments are matched to tenants, and anything already recorded is skipped.

What does connecting Daraja give me?

Payments appear the moment tenants pay, without statement uploads, and you and your caretakers can send tenants an M-Pesa PIN prompt for the exact amount. Settings → M-Pesa walks you through creating the Daraja app and going live; we can go through it with you.

A payment says "unmatched". What do I do?

The tenant probably typed the wrong account number. Open Payments → Unmatched and choose who it belongs to. It's then recorded and they get a receipt.

A tenant says they paid but I can't see it. What now?

Tenants can tap I've paid on their rent page: the amount, how and when they paid, the M-Pesa code or bank reference, and a photo of the slip. You get an email and a note on your dashboard. Open Payments to confirm, check it against your statement, then tap Confirm (the payment is recorded and their receipt goes out) or Reject with a reason (they get it by SMS). A code that's already recorded is flagged, so nothing is counted twice.

How do I record cash or a bank payment?

Payments → Record cash/bank payment. The tenant gets an SMS receipt. If you made a mistake, use Move (wrong tenant) or Void (shouldn't be there) on the payment; every correction is kept in Activity.

Rent, reminders and arrears

Are tenants reminded automatically?

Yes. Tenants who owe get an SMS reminder with their balance and how to pay. On rent day you can also tap Remind everyone who owes on the dashboard and check the messages before they're sent.

A tenant is far behind. Can they pay in instalments?

Yes. On their page, choose Set up payment plan, e.g. KES 45,000 as KES 10,000 every Friday. They're reminded before each instalment, and Tenants → Payment plans shows who's keeping to theirs.

How do I raise the rent?

On the tenant's page (or for a whole property), choose Change rent and the date it starts. The tenant is told by SMS, and the new rent is billed from that date.

A tenant is moving out. What about the deposit?

On their page, choose Move out. Record any deductions; the rest of the deposit is applied to what they owe or shown as a refund, and their statement is updated.

What are the scorecard, streaks and suggestions on my dashboard?

Collection shows how much of this month's rent is in, how that compares with past months ("your best since June") and your run of months above 90%. When every tenant in a property has paid, you get a 🎉 on the dashboard and in that evening's WhatsApp summary. Suggestions point out things worth acting on, like a unit empty for over a month or a tenant late three months running; tap Not now to hide one for 30 days. From December to February, the dashboard offers your year in review to share (Reports has it any time).

Why does Rentipay say my records need updating?

If nothing has been recorded in your account for 30 days (no cash payments, statement uploads, expenses or tenant changes from you, your caretakers or people you gave access to), your dashboard shows a reminder and we email or text you once a week. Record what's changed, or if nothing has, tap Everything's up to date on the dashboard.

How do I see what I actually made?

Record what you spend under Expenses: repairs, the caretaker's pay, water and electricity bills, rates and so on (tick Repeat every month for regular costs). Reports then shows, for each month and property, what you collected, what you spent and what you made. Caretaker spending you approve is added for you.

Something affects the whole building (water, the gate, cleanliness). How do I log it?

Maintenance → Log repair, and under Where choose General: whole of your property instead of one house. Your caretaker can do the same. While it's open, your tenants see it on their rent page under "Being fixed in your building", so they don't all report the same problem.

Do tenants see the repairs I log?

Yes. Each tenant's rent page lists every repair to their house since they moved in (only what it is and its status, never the cost) and any open General repairs in the building. Tick Let the tenant know by SMS when you log or update a repair and they're texted when it's logged, when work starts and when it's done, in English or Kiswahili. For a General repair, everyone in the property gets it.

Your tenants

What do tenants see?

Each tenant gets a private link by SMS to their own rent page: what they owe, how to pay, statements and receipts. They can report repairs and message you there. No app or password needed.

How are tenants rewarded for paying on time?

Each tenant's rent page shows their record ("Paid on time 11 of 12 months"), their run of on-time months and a Good tenant badge if they've been late at most once in a year. They can share a reference letter with their next landlord. Receipts say "Well done for paying early!" or "on time". You can also offer a reward under Settings → On-time rewards, e.g. KES 500 off after 6 months on time: it's worked out and credited automatically, and the tenant gets an SMS. On time means paid in full within 5 days of the rent day.

What's the building noticeboard?

Each tenant's rent page has a noticeboard for their building. It shows your Good to know note (add water and garbage days, the caretaker's number and so on under Properties → Edit) and short notices tenants pin for their neighbours, like "Found: car keys by the gate". Posts show the tenant's first name and house, never their phone number, and disappear after 30 days. You'll find them under Announcements, where you can remove any of them.

Can tenants rate repairs?

Yes. For 30 days after a repair is marked resolved, the tenant can tap 👍 or 👎 on their rent page. Ratings show on the Maintenance list, with a summary of how each person who fixes things was rated.

Can tenants get messages in Kiswahili?

Yes. Set their language to Kiswahili on their page; their SMS, rent page and receipts switch over.

How do I tell all my tenants something?

Announcements → New announcement. It goes by SMS and appears on their rent pages, to everyone or only some properties or units.

Your account

Can my co-owner, spouse or accountant see the account?

Yes. Settings → People with access → Invite someone: enter their name and email or phone number, and choose Can view only or Can view and make changes. They get a link to choose their own password (you can also copy the link and send it on WhatsApp). They see your dashboard, tenants, payments, expenses and reports; with changes allowed they can also record payments, tenants, repairs and expenses, and the Activity log shows who did what. Only you can open your settings, M-Pesa, billing and staff.

Can I use Rentipay on my phone?

Yes. Open it in your phone's browser and add it to your home screen: in Chrome, menu → Install app; on iPhone, Safari's Share button → Add to Home Screen. Turn on payment alerts in Settings to hear when rent comes in.

How do I keep my account safe?

Turn on Settings → Two-step login: you then also need a code from an authenticator app on your phone. Your data is backed up every night, encrypted, and copied off-site.

Can I get a free month?

Yes: Settings → Invite a landlord gives you a link to share. For every landlord who joins with it and pays their first bill, your next bill is free.

How can someone check a receipt is real?

Every printed receipt has a code like R4F-7KQ2X. Anyone can enter it at 13-204-5-26.sslip.io/verify/ to see that it's genuine (or that it was cancelled). Only the amount, date, place and the tenant's initial and surname are shown.

Can I put my own logo on receipts?

Yes. Settings → Receipts and statements: add the name you trade under, your logo and a colour. Tenants' receipts and statements then carry them.

Where do I see everything about one tenant?

On the tenant's page, tap Full history: payments, repairs, notes, messages and texts on one timeline, newest first, with filters.

Can I do things to several at once?

Yes. On Tenants → Owing, tick tenants and tap Remind selected (you see each message before it goes). On Maintenance, tick open repairs and tap Mark selected done, optionally texting the tenants.

Does Rentipay help with KRA rental income tax?

Yes. Reports → KRA rental tax works out Monthly Rental Income tax (7.5% of the residential rent you received) for each month from the payments recorded here, with the iTax due date (the 20th of the next month). Mark each month filed with its PRN, and download the year for your accountant. On the 15th we remind you if last month isn't marked filed (switch it off under Settings → Notifications). It's a helper, not tax advice: shops are left out because they're taxed differently.

How do I record the house's condition when a tenant moves in or out?

On the tenant's page, under Inspections and documents, tap Move-in photos and photograph each room (several at a time, from your phone's camera). Do the same with Move-out photos, then Side by side shows them room by room to agree deposit deductions. The tenant can see the same photos from their rent page.

Can Rentipay make a tenancy agreement?

Yes. On the tenant's page, tap Tenancy agreement: it's filled in with their name, ID, the house, rent, rent day, deposit and one month's notice, ready to print and sign. Add your own terms under Settings → Receipts, statements and agreements. Upload the signed copy and their ID under Inspections and documents; only you can open them. It's a general template, so have an advocate check it.

Can I get my data out?

Yes, any time: download payments and statements as CSV or PDF from Payments and Reports.
